Who we are
RCH Drainage ("we", "us", "our") provides drainage services across Northamptonshire. [Company name and registered address to be added]. For any questions about this policy or your data, contact us at RCHDrainage@gmail.com.
What personal data we collect
When you submit our enquiry form we collect the information you give us, which may include:
- Your full name
- Phone number
- Email address (if provided)
- Postcode and area
- A description of the drainage issue
- Any photos or videos of your property or drainage problem you choose to upload
We do not knowingly collect special category data. Please don't include sensitive personal information in your description or uploads.
Why we collect it and our legal basis
We use your data only for the following purposes:
- To respond to your enquiry and arrange any drainage work you ask us about. Legal basis: consent (you choose to submit the form) and legitimate interests (running our business and replying to potential customers).
- To keep records of work quoted and carried out. Legal basis: legitimate interests and, where applicable, legal obligation (e.g. tax records).
How we store and protect your data
Enquiry details are stored securely in a managed database. Photos and videos are stored in private file storage that is not publicly accessible. Access is restricted to the business owner and any engineer assigned to your job.
Data is transmitted over encrypted (HTTPS) connections.
Who we share it with
We do not sell your data. We share enquiry details only with:
- The business owner and the engineer assigned to respond to your enquiry.
- Service providers who help us operate the site (hosting, database, email notifications). They process data on our instructions and under contract.
- Authorities or professional advisers where required by law.
How long we keep it
We keep enquiry data for as long as needed to respond to you and provide any service you book, and afterwards for a reasonable period for record-keeping and to defend or bring legal claims — typically up to 6 years. Photos and videos tied to enquiries that don't lead to work are deleted sooner, normally within 12 months, unless you ask us to keep them.
Cookies
We use a small number of essential cookies and similar storage to make the site work (for example, to remember your cookie consent choice). We do not load analytics or marketing cookies unless you agree to them via the cookie banner. You can change your choice at any time by clearing the site's storage and reloading the page.
Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data ("right to erasure").
- Restrict or object to how we process your data.
- Withdraw consent at any time, where we rely on consent.
- Receive a copy of your data in a portable format.
To exercise any of these rights, email RCHDrainage@gmail.com. We aim to respond within one month.
If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
